Case Studies - Information Communication / NTT Data, Inc.

Motivation for Installation

The rapid overseas expansion of Japanese corporations in recent years has created considerable demand for building seamless IT environments that transcend national borders. NTT Data, Inc. is accelerating its global development as it works to meet this demand. The company is putting particular effort into building organisational structures that are able to generate synergy among NTT Data Group Corporations. As they move forward, Group communication is becoming an increasingly vital element. There are presently a large number of projects under way, with system design done in Japan and manufacturing done locally overseas. In the future, though, the company envisions a growing number of cases where system design will need to proceed in parallel between Japan and various overseas bases. The frequency of discussions and other exchanges will also increase, and more detailed collaboration will be required. This has led to the need to establish a solid base of communication tools. In the past, the company used web conferencing between Japan and its development bases in Beijing and Tianjin, but the levels of both picture and sound quality were less than satisfactory. The experience clearly revealed the difficulties in long-distance communication.

System Selection Points

In a meeting, members need to be able to feel the general mood. When the meeting involves people overseas, it is also necessary to gauge just how well everyone understands the meeting content. The low picture and sound quality of the previous videoconferencing system made it difficult to see the facial expressions and thought processes of the other members to determine their level of understanding even when they replied with something like, "Oh yes, I see." Thanks to the excellent ambience of the HD Visual Communications System, in addition to clearly seeing the facial expressions and hearing the tone of the voices, members can actually sense the atmosphere surrounding the other party. This has been described as coming close to a "face to face" meeting environment. The introduction of the HD Visual Communications System was expected to let the company achieve a high level of communication, even over long distances, that would be midway between talking by telephone and meeting on a business trip. It would make it possible to handle situations that previously would have required a business trip, without having to leave the office, thus greatly changing and improving work styles.

Installation Effect

The level of understanding has greatly improved and truly comfortable meetings have become possible, in which members from Japan explain specifications and scheduling to the members of development bases in China. Even small, fine characters in design drawings and text are sharp, and the facial expressions of all the members are easy to see, so there are fewer misunderstandings. Projects are also able to proceed by linking bases in Tokyo, Osaka, Beijing and Tianjin, creating a feeling of closeness, as if everyone were gathered together in a single spot. This enables closer communication and brings greater teamwork to each project. It also helps to shorten deadlines. All of these factors have made the HD Visual Communications System a virtually indispensable tool.
